E3 Community Services Inc. is a multi-service agency offering a broad array of supports for children, and adults with developmental disabilities. The agency also provides programs to the broader community such as Day Care and EarlyON, as well as services such as ReUse Centre and Oasis by the Bay Vacation Suites.
Who We Are Looking For:
We are seeking a detail-oriented and organized Administrative Assistant, People & Culture to provide essential administrative support within the People & Culture department. This role contributes to compliance with the Employment Standards Act (ESA), Accessibility for Ontarians with Disabilities Act (AODA), Occupational Health and Safety Act (OHSA), Ontario Human Rights Code, and the principles of Diversity, Equity, Inclusion, Accessibility, and Belonging (DEIAB).
The ideal candidate values confidentiality, accuracy, and efficiency while supporting HR and administrative functions.
General Responsibilities:
Administrative Support
- Assist with the maintenance of confidential employee records, ensuring compliance with ESA, AODA, OHSA, Ontario Human Rights Code and MCCSS
- Participate in preparation for annual MCCSS compliance audit
- Support the coordination of employee training and accurate training records
- Assist in maintaining compliance-related documentation, including health & safety records, employee files, and policies
- Positively contribute to emerging DEIAB initiatives
- Ensure that sensitive information is processed and stored in compliance with privacy laws and organizational policies
- Digitize hard copy files to ensure digital copies of physical records are maintained
- Provide administrative support to People & Culture team projects as assigned
Recruitment and On-boarding
- Assist with recruitment activities, including reviewing resumes, conducting pre-screening, and scheduling interviews
- Ensure new hire documentation is collected, processed, and properly stored
- Maintain recruitment-related documentation and tracking systems
Health & Safety
- Assist with maintaining health and safety documentation, including training records and compliance logs
- Support the coordination of health and safety training sessions
- Ensure incident reports and other health and safety documentation are properly stored and maintained
Qualifications:
- Working towards a degree or diploma in Human Resource Management or has experience in human resources
- Basic understanding of ESA, AODA, OHSA, Ontario Human Rights Code
- Familiar with DEIAB principles
- Excellent customer service and communication skills
- Proficient in Microsoft Office Suite and digital record-keeping
- Strong attention to detail and ability to handle confidential information with discretion
Requirements:
Must be:

between 15 and 30 years of age (inclusive) at the start of employment;
- a Canadian Citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act*; and regulations
- legally entitled to work according to the relevant provincial / territorial legislation and regulations.
Position is available for 12-16 weeks, working 35 hours per week beginning in May 2025
